Quickbooks

Postby Paul Perris » Tue Mar 12, 2002 1:22 pm

Thanks for the quick response Loren - It would be a real pain trawling
through the order or changing the stock code to do this.

Do you know when the new version will be out to work round this?

Also does importing the order allow printing of invoices from the
information this is the task we want the software for and if it does not do
it I will send it back under the 60 money back warranty.

Thanks,

Paul

We have been using a data conversion program for about 6 months that
converts Shopsite orders into a Quickbooks file for importation. What I have
found is that Quickbooks is very demanding on importing info. Some examples.
One problem we have had is that Quickbooks, at least with our software, checks
each item being imported by its stock number and will stop importing correctly
if it does not find a match. Also you can run into problems with orders from
the same customer. We have custom fields for each customer. If the customer
places a 2nd order, Quickbooks, will overwrite the entire file for the customer
meaning that you lose any info in your custom fields.
Now the good news, once the order is imported into Quickbooks, you work
with it normally, meaning you can print or fax with no problem. Basically
Quickbooks is an accounting program. If you are not using it as an accounting
program, there has to be a easier way to get an invoice printed.

Quickbooks also limits the number of invoices (I think around 10,000) and
customers (something like 14,500) that you can have.

We have one Order Manager user with over 150,000 orders in the Order
Manager!

Sometimes it pays to buy a tool that is designed for the specific job that
you need done. We recommend using the Order Manager to maintain and manage
your detailed information: customers, orders, transactions, inventory, etc.
Then use QuickBooks or another accounting program for your general ledger,
payroll, etc.

Periodically, and that can be daily, weekly, monthly, etc., use the Order
Manager to print an Accounting Summary report. That will give you totals for
Gross Sales, Sales Tax, Shipping Charges, Other Charges, Discounts, Returns
& Exchanges and Cost for whatever range of dates you selected. You can then
manually enter those totals into QuickBooks as summary numbers for the
period. That way you get the best of both worlds.

Hi Barney,

is your order manager able to manage invoice in other languages than
English?

Or am I able to translate the field names in the printed invoices into
German? I would not mind spending some time working on it, if the end result
suits my needs. We have customized our entire ShopSite V 4.1 in German and
the result is exactly as we need it (or better: our customer unstand the
navigation and purchase process).

Niko -

All of the reports in the Order Manager are Microsoft Access reports which
can be modified, either by us or by any Access programmer, so if you don't
mind dealing with your screen displays in English, you can certainly modify
the reports, email templates, etc., or we can revise them to your
specifications for a fee.

The program is designed to work with different currencies, but has only
really been tested with Dollars and British Pounds. I assume that you will
be using Euros, and we would be glad to work with you to get that working
properly.

I checked with QuickBooks for their latest information. You can find it at:
http://www.quickbooks.com/support/faqs/ ... 00876.html

You are actually limited to 10,000 customers and 14,500 inventory items. The
maximum number of invoices is not listed, but I'm pretty sure it is also
10,000. These numbers are obviously not adequate for a lot of ecommerce
sites.

Hi Barney,

thank you for your offer. I am currently upgrading our Shop from V 4.1 to
6.x, when this is done (hopefully next week or so), I will need to move 3 of
our websites to new servers. When this is done (in April) I will contact you
about the order manager. And yes you are right, we are working with the
Euro. I am a) able to work without problems with an English language GUI and
b) to properly translate any forms into proper business German :-)

Looking forward to this, as the our current situation using a German
invoicing program (called Faktura Plus distributed by Lexware, company that
distributes Quicken and QuickBooks in Germany) is hindering our work more
that it helps. It is SQL based, but Lexware would not allow you to access
the data with any other SQL client, then their program, so I cannot import
any data into the database, I have to retype all the information, which is
killing!

'til April!

Niko -

That's why the Order Manager is an "open source" program, with easy access
to the tables and queries, and hooks throughout the program for inserting
custom report, forms, functions, etc.

Thanks Larry - I have wrote to Barney as our stock codes are not perfect and
the last time we had a look at order manager we had problems
using it due to problems with duplicate stock codes on items.
I have wrote to Barney to see if he can produce something just to print out
invoices and produce an excell spreadsheet with the sales figures until I
get change to look at all the stock codes so we can use order manager it is
a great product.
