QuickBooks vs StoneEdge

Postby Steve Doherty » Fri Dec 20, 2002 11:51 am

We currently use Quickbooks (pc) for managing our orders. Shopsite 6.1.1. I
have not used Stoneedge Manager. When importing into Quickbooks, I can't
seem to get the credit card information to display. Do you think I'm doing
something wrong? I think I'd like to try Stoneedge. If anyone has used both
of these products and could compare and contrast, I would greatly appreciate
the wisdom of your experience.

Thanks,

Steve,

Order Manager makes me smile every
day. I just had to process a bunch of
returns and each one took only a few
seconds and a couple of clicks to return
the items into inventory, credit the customer's
credit card, and send the customer a
detailed, personalized email reflecting
all the particulars of the customers order.
Everything is integrated and makes
business on the internet easy, fun, and
professional.

And that's only the returns. Order Manager
has so much more to offer...get it... you'll
be happy you did.

We have never used Quickbooks for "Order Management" but have been using
Barney Stone's Order Manager (OM) for a couple of years now. OM has made us
much more efficient and there are more features (of OM) that we have yet to
implement (I..E. inventory management and online credit card processing). If
OM doesn't offer something you need, Barney and his team are very willing to
custom program for you. Try to get Quickbooks to do that!

Thanks for the feedback everyone. This application looks pretty good.

Q. How does the order number numbering system work when you create a new
order manually when taking an order by phone? Using Quickbooks, we have the
order numbers in sequence as imported from Shopsite. If I want to enter a
manual order, Quickbooks automatically gives my manual order the next number
in sequence. But, Shopsite is obviously going to give that next number to
the next online order. So, I have to remember to manually type in a
different number using a different sequence. How is this handled with
StoneEdge? Are "manual" and "imported from shopsite" orders automatically
given different number systems?

Q. When doing a manual order, and authorizing the card, do I get to see the
same authorization codes that I do with Shopsite? The AVS and CVV2 matching
codes that come back from Verisign?

Q. Does the ip address of the customer, that is captured by Shopsite, get
imported into Stoneedge along with the order information?

Thanks

The Order Manager has two different order numbers for each order. Orders
imported from ShopSite get both an Order Manager order number and a ShopSite
order number. Orders entered manually into the Order Manager only get the
Order Manager order number. You can print either or both numbers on invoices
and packing slips, and you can easily change their labels to whatever you
like. We recommend calling the ShopSite order number the "Web Order #" and
the Order Manager's order number the "Invoice #" or something like that.

Our Verisign PayFlow Pro interface will has full support for AVS, and will
show you the appropriate codes. We have not added CVV2 support for PayFlow
Pro yet. I will take a look at that in the next couple of weeks. (We do
support CVV2 with Authorize.net.)

Yes, we do import and display the ip address as reported by ShopSite.

Please let me know if you have any other questions.

Barney,

Is it possible (and cost-effective) to get some of the custom API/CGI features
of the Order Manager (such as automated Out-Of-Stock item e-mails)....WITHOUT
purchasing and using the whole Order Manager program (which wouldn't work with
our own back-end accounting system)?

I'm not sure how to answer that. First of all, there aren't really any
"API/CGI" features to the Order Manager. The program is strictly a desktop
application, written in VBA (Visual Basic for Applications). Second,
although we do a lot of custom programming, we do not generally break out
functions of the Order Manager since the custom programming costs are likely
to approach the cost of the full program (which is only $595) and there is
no reason you can't just use a few features of the Order Manager and ignore
the others.

(One exception to that is our ShopSite to Mail Order Manager system, which
imports ShopSite orders and exports them in a format that MOM can import.
MOM is a much more expensive order management system from another vendor.)

Lastly, you might want to give me a call to talk about your needs - we might
be able to provide a way to link up to your existing system so you can have
the best of both worlds. You might also want to talk to me about using our
ECom Assembler to solve some of the inventory tracking issues you raised in
the other discussion thread.

I'd DEFINATELY reccommend using Stone Edge Order Manager, even if you use it
with Quickbooks. There are things that it can't do (financials...) but as
far as managing orders and customer data it's excellent.

Is your COO aware of the limitations of QuickBooks? You are limited to
10,000 items, 10,000 customers, etc., and cannot have more than 14,500
combined items, customers, vendors, etc. This may not be a concern to you
now, but as companies become more successful, this can become a problem.

Here's why we do not recommend exporting detail information to QuickBooks
(or any other accounting system): One of the main advantages of the Order
Manager is that it makes it very easy to deal with nuisance issues:
backorders, returns & exchanges, adding, deleting or modifying line items in
an order, etc. That means that order information changes frequently. If you
have the data in two different systems, you have a constant problem of
keeping both systems advised of changes made in the other system. That
violates one of the first rules of relational databases.

Our approach is to keep all of your detailed information (customers,
inventory, orders, purchase orders, etc.) in the Order Manager. Then
periodically transfer summary information from the Order Manager to your
accounting system. That way you get the best of both worlds. We have already
added the ability to export payable information from the Order Manager to
QuickBooks when you receive inventory against a purchase order, so you can
use QB to issue checks to your vendors. We are now also considering adding
the ability to transfer sales and cashflow data automatically. We welcome
input from anyone who has suggestions along those lines.

My COO insists that we need quickbooks records of all sales, customers and
products, etc.

Can this information be exported to/from quickbooks?

Thanks,

Andy

I'm not sure how to answer that. First of all, there aren't really any
"API/CGI" features to the Order Manager. The program is strictly a
desktop
application, written in VBA (Visual Basic for Applications). Second,
although we do a lot of custom programming, we do not generally break
out
functions of the Order Manager since the custom programming costs are
likely
to approach the cost of the full program (which is only $595) and there
is
no reason you can't just use a few features of the Order Manager and
ignore
the others.

(One exception to that is our ShopSite to Mail Order Manager system,
which
imports ShopSite orders and exports them in a format that MOM can
import.
MOM is a much more expensive order management system from another
vendor.)

Lastly, you might want to give me a call to talk about your needs - we
might
be able to provide a way to link up to your existing system so you can
have
the best of both worlds. You might also want to talk to me about using
our
ECom Assembler to solve some of the inventory tracking issues you raised
in
the other discussion thread.

Barney,

Is it possible (and cost-effective) to get some of the custom API/CGI
features
of the Order Manager (such as automated Out-Of-Stock item
e-mails)....WITHOUT
purchasing and using the whole Order Manager program (which wouldn't
work
with
our own back-end accounting system)?

The Order Manager has two different order numbers for each order.
Orders
imported from ShopSite get both an Order Manager order number and a
ShopSite
order number. Orders entered manually into the Order Manager only
get
the
Order Manager order number. You can print either or both numbers on
invoices
and packing slips, and you can easily change their labels to
whatever
you
like. We recommend calling the ShopSite order number the "Web Order
#"
and
the Order Manager's order number the "Invoice #" or something like
that.

Our Verisign PayFlow Pro interface will has full support for AVS,
and
will
show you the appropriate codes. We have not added CVV2 support for
PayFlow
Pro yet. I will take a look at that in the next couple of weeks. (We
do
support CVV2 with Authorize.net.)

Yes, we do import and display the ip address as reported by
ShopSite.

Please let me know if you have any other questions.

Thanks for the feedback everyone. This application looks pretty
good.

Q. How does the order number numbering system work when you create
a
new
order manually when taking an order by phone? Using Quickbooks, we
have
the
order numbers in sequence as imported from Shopsite. If I want to
enter a
manual order, Quickbooks automatically gives my manual order the
next
number
in sequence. But, Shopsite is obviously going to give that next
number
to
the next online order. So, I have to remember to manually type in
a
different number using a different sequence. How is this handled
with
StoneEdge? Are "manual" and "imported from shopsite" orders
automatically
given different number systems?

Q. When doing a manual order, and authorizing the card, do I get
to
see
the
same authorization codes that I do with Shopsite? The AVS and CVV2
matching
codes that come back from Verisign?

Q. Does the ip address of the customer, that is captured by
Shopsite,
get
imported into Stoneedge along with the order information?

Thanks

We currently use Quickbooks (pc) for managing our orders.
Shopsite
6.1.1.
I
have not used Stoneedge Manager. When importing into
Quickbooks,
I

Sniff Sniff, I just wish it was available for MacUsers.

However, since I just purchased Virtual PC 6.0 this may solve that problem.
I switched from Mac to PC a few years ago and now back again to the Mac,
only the Quickbooks 5.0 for the Mac that was just released is a poor excuse
of an upgrade so I purchased the Virtual PC so I can run my PC version of QB
on my Mac.

Barney, any known glitches using it with Virtual PC.

No, as far as I know, the Order Manager should run fine with Virtual PC. Of
course, if you have any problems that we cannot solve for you, our 30 day
money back policy would apply, so your risk is minimal (not counting the
cost of getting Microsoft Access, if you don't already have it.)
