Quickbook Integration

HI,

We area trying to put in place a way to get the orders from shopsite V10 into Quickbooks, as effortlessly as possible.

There seem to be 2 choices provided by shopsite. The Database download feature that is included, and the Order Transfer application which is a separate software purchase.

It seems like the database download can only download ALL orders at a time. How does this work? or does it not really work? If this feature is not useful, why is it still in the product as a feature? What happens, are orders duplicated in Quickbooks every time you do an order download?

With the Order Transfer application, are people using this? Does it work A-OK? What was the set-up time to get it configured and working correctly that people have experienced.

Thanks for any help. I am sure this is a topic many people are interested in, but after days of research, there is no simple, clear answer out there I can tell you that!

Approximately how many orders per day do you expect to be receiving? You have to be careful with QuickBooks. Unless you are using the Enterprise Version of QB, you are limited to 14,500 each of orders, customers, products, etc. That means that at about 40 orders per day, you will hit the limit in one year. At 100 orders per day, you will run out of capacity in less than 5 months. And there is no warning as you approach the limit. Once you hit it, you can no longer use that QB data file - you have to start a new one.

Unless your order volume is less than 20 or 30 orders per day, you might want to consider using an order management program that can handle all of your orders, customers and products, and then just pass summary data (e.g. daily totals for sales, sales tax, shipping charges, cost of goods sold, etc.) to QB, thus avoiding its limitations.

Small Business

Hi Barney,

Thanks for posting on my question. All that is good information to have. We are a fairly small business right now, and do less then 20 orders per day.

Our biggest concern is getting the order into Quickbooks so we can make sure we dont have any errors when we do it manually, and to save the time/hassle of doing it manually.

Thanks, and any other advice is certainly appreciated.
